Do you really need SharePoint Site Collection Quotas?

Like on almost everything in life, there are different opinions on using site collection quota.
In his blog post “Controlling Sites Sizes with Quotas” Michal Pisarek proposes to use Site Collection Quotas and they should be one of the first things to be considered in your SharePoint Governance plan.
I do agree with him, but I also firmly disagree.

Moving files with metadata and permissions to another library.
Patrick Sledz Business case:
We have a document library with files. These files all have specific files level permission. A user can only see files (s)he is allowed to see, and the permission level changes during a workflow. When the document get the status finished, a workflow will remove the contribute right for the contributors and set a read permission for these users. There are also about 30 metadata columns. Creating an unique approval number in a workflow
Patrick Sledz I was working on a workflow that assigns a unique approval number to an approved item. Despite the fact I made this workflow using Nintex, it is possible to create this workflow with SharePoint Designer (using the calculate function)

SharePoint workflow status: How to use a workflow status in a view (based on a Nintex workflow)
Patrick Sledz I wrote a post about how to use the workflow status in another workflow or in a view.
When I was changing views on a custom workflow that was created by Nintex I ran into issues. I wanted to display all items were the workflow was not Approved. So as a logical next step, I would just need to change my view and filter on the status (filter on “is not equal 16″). But this didn’t work. It showed all items, even the ones that were approved.

Why I joined BIWUG as an active member last year.
Patrick Sledz Last year (2010) I joined BIWUG as an ”active member”. BIWUG is the Belgian Luxemburg Information Worker User Group. A lot of people (including myself) had some criticism on BIWUG. Mainly on their on-line presence, the website (which is a WSS 2.0 website at the moment of writing) but also on the topics and subject that were presented during the BIWUG sessions.

Yahoo doesn’t like delicious, I did, but am looking for alternatives.

SharePoint Workflow Status: how to use the workflow status in a workflow (or a view)?
Patrick Sledz Recently I had to configure a SharePoint workflow where an item had to be copied to another list when the Approval Workflow status is approved. It was ok to start the workflow manually. The workflow had to be created in SharePoint Designer 2007, since no other specialized workflow software is/was available.

Nozbe translations. My engagement to help the translations to Dutch
Patrick Sledz A few weeks ago I started (re)using Nozbe after my "Remember The Milk" pro- account was expired. This forced me to use Nozbe more intensive and I also engaged myself to the community to translate from English to Dutch. For me the interesting part (at this moment) is the paragraph about the new iPhone. Nozbe has set up a partnership with Macoscope, a Polish software house that is specialized in development for the Apple platform.

SharePoint Evolutions conference
Patrick Sledz Yes, my ticket for Sunday to travel with the Eurostar from Brussels to London is booked. I called the Belgian call center this morning at 09:00 and they confirmed that there were no more places available to leave on Sunday. The operator I talked to yesterday confirmed me that at 10:00 Eurostar will announce extra trains, and they can book them as soon as they are announced. SharePoint evolutions conference in London transportation issues
Patrick Sledz I was so happy that I could go to the #SPEVO SharePoint Evolutions Conference next week. I reserved an airplane ticket from Antwerp to London, but due to volcanic ash my flight was cancelled. Like many other people in the SharePoint community I have an issue to get to London.

Nozbe and what to do on your IPhone when you changed you password
Patrick Sledz I started testing with a free account of NOZBE and Since i am an Iphone user, installed the application on my Iphone. After changing the password in the webinterface of Nozbe my Iphone didn’t sync anymore because of the password mismatch.

Patrick Sledz Since a few weeks I have been following the #GTD hash on twitter and there are a lot of questions of which (web based) software to use. Therefore I have taken some screenshots of my RememberTheMilk configuration so you can actually see the difference between the default RememberTheMilk and the customized one. The customization is done with some Greasemonkey scripts. Hence, they only work on a Firefox based browser.

Performing a mindsweep
Patrick Sledz One of the base principles of Getting Things Done is to obtain a “Mind like water”. Your mind is good for having ideas, not for holding them. That’s why you need to capture everything out of your head, and into a trusted system.
But please pay attention. Its takes about 20 days before you really can trust your trusted system. You need to be able to change and to adapt these changes in your way of work.

Step 3: Organize
Patrick Sledz The next step in the process work flow is organize.
You organize everything in a set of lists which you can use to track the items awaiting your attention. It doesn’t matter where this list is. You can have it on a computer, a PDA, IPhone, on paper, on your legs. It doesn’t matter (except for yourself, especially if the list is on your legs ) where you keep these lists, as long as you have it. I’ll provide my setup in a later post.

What is stuff and how can you handle it? The ‘Process’ phase.
Patrick Sledz We have a lot of stuff. Stuff is anything that is hanging around (on your desk, in your head, your e-mail in basket,..) where no action has been defined yet.
When you have collected the stuff, you must do something with it. Actually, this is a continuous process, and you process stuff all the time.
Processing means you determine what to do with it.
First of all you need to decide if the stuff is actionable. If it isn’t , there are three possibilities.
